Policy Statement

At Aprecity Wellbeing, the safety, comfort, and wellbeing of the young people I support is my highest priority.
There are occasions when I will use my own vehicle to transport students - for example, when attending 1:1 / 1:2 sessions.

This policy ensures that all transport arrangements are carried out safely, responsibly, and transparently, in line with legal and insurance requirements. It also ensures that parents and carers, are fully informed of any transport taking place.

 

1. Requirements for Using Own Vehicle

When using my personal vehicles for transporting students I must ensure the following:

Insurance & Legal Compliance

  • The vehicle insurance policy includes business use for work-related transport.

  • The driver holds a valid UK driving licence for the category of vehicle being driven.

  • The vehicle is taxed, insured, and roadworthy at all times.

  • The driver has no unsafe or dangerous driving endorsements.

Vehicle Safety

  • Seat belts and car seats meet all current UK legal requirements and are appropriate for the student’s height, weight, and needs. (If you child requires a car seat please let me know when booking)

  • Any special seating or safety equipment is securely installed to the correct regulatory standards.

Checks & Documentation​

  • Driving licences, MOT, and insurance documents will be renewed annually or whenever there is a change.

  • Full DBS is held by myself and is renewed annually.

2. Communication & Record Keeping

To maintain transparency and safety:

  1. The full address, timings, and purpose of each offsite visit or journey will be communicated at the time of booking or when collecting the student.

  2. I will have my mobile phone switched on at all times and during journeys in case of emergency. (Blue tooth hands free whilst travelling in the car)

  3. A risk assessment will be completed for each student before any journey takes place. This will be discussed with you at the time of booking and when meeting the student.

3. Review and Monitoring

This policy will be reviewed every two years or sooner if required by changes in legislation, insurance requirements, or operational needs.
